How Blend 2 Vend Ltd collects, uses and protects your personal data.
1. Who we are
Blend 2 Vend Ltd ("Blend 2 Vend", "we", "us", "our") supplies, installs and services commercial bean-to-cup coffee machines for businesses across the UK. We are the data controller for the personal data described in this policy.

This policy applies to our website at blend2vend.com, our enquiry and booking forms (including forms hosted on our behalf by third-party funnel and scheduling providers), our newsletter, and the personal data we handle when you enquire about, apply for finance for, or become a customer of our services.
2. What personal data we collect
Depending on how you interact with us, we may collect:
- Contact details: your name, business name, job title, email address, phone number and business address or postcode.
- Enquiry details: the answers you give in our enquiry and qualification forms, such as venue type, whether you currently serve coffee, expected volumes, drink preferences, whether you are the decision maker and your preferred payment option.
- Booking and communication data: demo appointment times, your replies to our SMS, email and phone communications, and notes from calls and site visits.
- Business verification and finance data: where you are interested in a lease or finance agreement, your company registration details, director names, information from Companies House and, with your knowledge, credit reference information about your business.
- Customer account data: installation address, contract details, invoices, payment records, service and maintenance history.
- Website usage data: IP address, browser and device type, pages visited, referring website, and advertising identifiers collected through cookies and similar technologies (see section 7).
We do not intentionally collect special category data (such as health or biometric data) and ask that you do not send it to us.
3. How we collect it
- Directly from you when you complete a form, book a demo, call, email or message us, or sign a contract.
- Automatically from your device when you use our website, through cookies, analytics and advertising tags.
- From third parties, including advertising platforms (for example Meta and Google) where you clicked one of our adverts, public sources such as Companies House, credit reference agencies, and our finance partners.

Where we rely on legitimate interests, we have considered the impact on you and will not use your data where our interests are overridden by your rights. You can object at any time (see section 10).
5. Phone, SMS and email communications
When you book a demo or enquire, we will contact you about that enquiry by phone, SMS and email, including automated confirmation and reminder messages. Some of these messages are generated with the help of AI tools using the information you have given us, and are reviewed and managed by our team.
You can stop SMS messages at any time by replying STOP, stop marketing emails using the unsubscribe link in any email, or ask us to stop any form of contact by emailing sales@blend2vend.com. We will still contact you where necessary to deliver a contract you have with us.
6. Who we share your data with
We share personal data only where necessary, with:
- Service providers who process data on our behalf, including our CRM and communications platform, form and funnel hosting, appointment scheduling, email marketing (Brevo), website hosting (Netlify), workflow automation, database hosting, team messaging tools and AI-assisted drafting tools.
- Finance partners, such as Shire Leasing, when you ask us to arrange a lease or finance agreement. They will act as an independent controller and their own privacy notice will apply. We may also share information from finance partners with you and use it in our records.
- Credit reference agencies and Companies House to verify your business and directors and assess suitability for finance.
- Engineers, installers, couriers and suppliers who deliver, install, service or restock your machine.
- Advertising and analytics platforms, including Google and Meta, in the form of cookie and pixel data described in section 7.
- Professional advisers, insurers, regulators and law enforcement where we are legally required to or where it is necessary to protect our rights.
- A buyer or successor if we sell or restructure our business, subject to the same protections.
We do not sell your personal data.
7. Cookies, analytics and advertising tags
Our website uses Google Analytics to understand how visitors use the site, and on some pages the Meta (Facebook) Pixel to measure the performance of our adverts and to show relevant adverts to people who have visited our site. These tools set cookies or use similar technologies and may collect your IP address, device information and browsing activity on our site.
You can control cookies through your browser settings, opt out of Google Analytics using the Google Analytics opt-out add-on, and manage advert personalisation through your Google and Meta account settings. Blocking cookies may affect how parts of our site work.
8. How long we keep your data
- Enquiries that do not become customers: up to 3 years from our last contact, so we can respond if you come back to us and monitor our marketing.
- Customers: for the length of the contract and 7 years afterwards, in line with UK accounting and tax requirements.
- Marketing contacts: until you unsubscribe or we have had no engagement for a reasonable period.
- Website analytics data: in line with the retention settings of the analytics provider, typically up to 26 months.
We may keep data for longer where required by law or to deal with a dispute.
9. International transfers
Some of our service providers store or process data outside the UK, including in the United States and the European Economic Area. Where this happens we rely on UK adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, together with appropriate security measures.
10. Your rights
Under UK data protection law you have the right to:
- Access the personal data we hold about you.
- Ask us to correct inaccurate or incomplete data.
- Ask us to delete your data in certain circumstances.
- Ask us to restrict processing in certain circumstances.
- Object to processing based on legitimate interests, and object to direct marketing at any time.
- Receive a copy of data you have provided to us in a portable format.
- Withdraw consent at any time where we rely on consent.

If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113. We would appreciate the chance to resolve your concern first.
11. Security
We use appropriate technical and organisational measures to protect your data, including access controls, encrypted connections and reputable hosting providers. No system is completely secure, so we cannot guarantee the security of data sent to us over the internet.
12. Third-party websites
Our website and communications may contain links to other websites, including our finance partners and social media. We are not responsible for their privacy practices. Please read their privacy notices.
13. Changes to this policy
We may update this policy from time to time. The latest version will always be published on this page with the date it was last updated.
